Privacy Policy

SmartRundown ("SmartRundown," "we," "us," or "our") provides AI-assisted writing tools for broadcast journalists. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. By using SmartRundown at smartrundown.com, you agree to the practices described here.

1. The Short Version

We built SmartRundown to respect the sensitive nature of newsroom work. In plain terms:

• We do not store the content you submit. Scripts, notes, and other text you run through our tools are processed to generate your output and are not saved on our servers afterward.
• We do not sell your personal information.
• Your content is not used to train AI models.
• We currently do not charge for the service, so we do not collect payment information.

2. Information We Collect

Account information. When you create an account, we collect the information you provide to set it up, such as your name and email address.

Content you submit ("Submitted Content"). SmartRundown's tools work on the material you provide — scripts, wire copy, notes, press releases, URLs, and similar text you paste or upload to be rewritten, structured, or converted. As described in Section 4, this content is processed to generate your requested output and is not stored by SmartRundown after processing.

Usage data. We collect basic information about how the service is used, such as which tools are accessed, general log data, and device or browser type.

Cookies and similar technologies. See Section 7.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the SmartRundown tools;
• Process your Submitted Content to generate the outputs you request;
• Create and manage your account;
• Respond to your requests and provide support;
• Understand usage so we can improve our tools;
• Detect, prevent, and address security issues, abuse, or technical problems;
• Comply with legal obligations.

We do not use your Submitted Content to train AI models, and we do not sell your personal information.

4. How Your Content Is Processed by AI (Please Read)

SmartRundown's tools use OpenAI's API to generate outputs. When you submit content to a tool, that text is transmitted to OpenAI to produce the rewritten script, VOSOT, tease, article, alert, banner, or package framework you requested. Once your output is generated, SmartRundown does not retain your Submitted Content.

Because your text — including scripts that may relate to unpublished or developing stories — is processed by OpenAI to provide the service, that processing is also governed by OpenAI's terms and data practices. Under OpenAI's API terms, data submitted through the API is not used to train OpenAI's models by default, and OpenAI retains API data only for a limited period for abuse monitoring before deleting it. We encourage you to follow your own newsroom's policies regarding what content may be shared with third-party tools.

5. Who We Share Information With

We do not sell your personal information. We share information only as follows:

• OpenAI — receives your Submitted Content through its API to generate tool outputs, as described in Section 4.
• Hosting and infrastructure providers — SmartRundown is hosted on Replit, which stores your account information and operates the service. Replit Privacy Policy
• Analytics providers — We do not currently use third-party analytics providers.
• Legal and safety — We may disclose information if required by law, subpoena, or legal process, or to protect the rights, safety, or property of SmartRundown, our users, or others.
• Business transfers — If SmartRundown is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction.

6. Data Retention

Submitted Content: Not stored by SmartRundown after your output is generated. (OpenAI's temporary retention is described in Section 4.)

Account information: Retained for as long as your account is active. When you delete your account, we delete your associated personal information, except where we are required to retain certain records to comply with legal obligations, resolve disputes, or enforce our agreements.

Usage and log data: Retained for a limited period.

7. Cookies and Analytics

We use cookies and similar technologies to keep you logged in and remember your preferences.

We do not currently use third-party analytics providers.

A note on future advertising: We do not currently display advertising. If we introduce advertising in the future, we will update this policy to describe any advertising cookies used and, where required, provide a consent mechanism before those cookies are set. You can control cookies through your browser settings, though disabling some may affect how the service works.

8. Your Rights and Choices

Depending on where you live, you may have rights to:

• Access the personal information we hold about you;
• Correct inaccurate information;
• Delete your account and associated personal information;
• Export your information;
• Object to or restrict certain processing.

To exercise any of these rights, contact us at support@smartrundown.com. Because we do not store your Submitted Content, most such requests will concern your account information.

9. Data Security

We take reasonable measures to protect your account information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. Notably, because we do not store your Submitted Content after processing, that content is not held on our servers to be at risk.

10. Children's Privacy

SmartRundown is a professional tool intended for adults in the broadcast industry. It is not directed to children, and we do not knowingly collect information from anyone under 13.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, notify you. Your continued use of SmartRundown after changes take effect means you accept the updated policy.
